ACT! gives you four ways to view your calls, meetings and to-do’s: the daily, weekly and monthly calendars, and the tasklist.
My business takes me out of the office on appointments and I’m constantly scheduling calls to clients and prospects. There are always more calls than appointments, and I like to be able keep my calls separate from everything else. ACT! allows me to customize and filter (see below) my calendars and tasklist so I’ve set my calendars to only see my appointments and I use the tasklist to view my calls.
I don’t use to-dos because I believe if it’s worth doing I schedule time to do it with either myself (the “my record”) or the client it’s related to.
The tasklist can be customized to see the date, contact name, phone number and extension, as well as the “regarding” field. In other words, one screen gives me all the calls I need to make on any given day, and I can clear each call upon its completion.
Customizing Tasklist Columns
ACT! 5, 6 and 2004: Open the tasklist and right-click somewhere in the body of the tasklist. Then choose the “add columns” option. To remove a column, simply click on the column heading and drag the column heading up off the screen and release it.
ACT! 2005 | 2006| 2007 | 2008 | 2009: Open the tasklist and right-click somewhere in the body of the tasklist and choose the “customize columns” option.
Filtering the Tasklist and Calendar
Simply right-click in the tasklist and choose the “filter” option.
